1. Who we are
SPEDschedules is scheduling software for elementary (PreK–6) special education teachers. The account holder is the teacher or district staff member who creates an account. Questions: hello@spedschedules.com.
2. Information we collect
- Account information you enter: name, email address, state, district, and school.
- Scheduling content you create: GenED master schedules, subjects, district calendar dates, para records, sessions, and service logs.
- Student records you enter. The app is designed to use Student IDs or student numbers rather than student names. Service minutes and schedules are attached to those identifiers.
- Billing information handled by our payment processor (Stripe). We never receive or store full card numbers.
- Technical data needed to operate the service, such as authentication sessions and error reports.
3. How we use information
- To provide scheduling, compliance logging, and reporting features.
- To authenticate you and keep your account secure.
- To process subscriptions and send receipts.
- To diagnose errors and improve reliability.
We do not sell your information, and we do not use student data for advertising.
4. AI-assisted import
When you choose to use the AI import assistants (master schedule or district calendar), the file or text you submit is sent to a third-party AI model provider through our AI gateway solely to extract schedule structure and returned to you for review. Student names are not required for these features; please avoid uploading files that contain student names or other identifying details.
5. Cookies and similar technologies
We use a small number of cookies and browser storage entries that are strictly necessary: keeping you signed in, remembering your cookie choice, and supporting secure checkout. If we later add optional analytics cookies, they will only be set after you accept them in the cookie banner. You can change your choice at any time by clearing site data in your browser.
6. Sharing and subprocessors
We share information only with service providers that help us run SPEDschedules: our application hosting and database/authentication platform, our AI gateway provider (only when you use an AI import feature), our email delivery provider, and Stripe for payments. We may disclose information if required by law.
Schedule copying between teachers in the same school is anonymized: when you copy a colleague's GenED master schedule, you receive an independent copy of the schedule structure, not their student records.
7. Retention and deletion
We keep the content in your account until you delete it or ask us to delete your account. You can hide or delete students, paras, sessions, and calendar entries from within the app at any time. To request deletion of your account and its contents, email us and we will process the request.
8. Your responsibilities as an educator
You remain responsible for complying with your district's policies and with FERPA, IDEA, and any applicable state or federal privacy rules when deciding what to enter into the app. Use Student IDs, keep your credentials private, and confirm with your district before entering any protected information.
9. Security
Access to your data requires authentication, and database access rules restrict records to the account that created them. No online service can guarantee absolute security. If you believe you have found a security issue, email hello@spedschedules.com.
10. Children's information
SPEDschedules is intended for use by school staff, not by students. Student records are entered by educators as identifiers for scheduling purposes.
11. Changes
We may update this policy as the product evolves. Material changes will be reflected in the “Last updated” date above.
